2. What Data We Collect

From business owners (our clients):

Name, email address, phone number
Business name and type
Plan and billing information (processed securely by our payment provider)
Google Calendar access (only to create/read appointments — we do not read other calendar content)

From end customers (people booking via our clients' bots):

Name and contact details provided during booking conversations
Appointment details (date, time, service type)
WhatsApp or phone number used to interact with the bot

Automatically collected:

Website usage data (pages visited, time on site) via anonymized analytics
IP address (used for geolocation to show correct currency — not stored)

3. How We Use Your Data

To provide and operate the RendezBot service
To send you account and service-related communications
To sync bookings with your Google Calendar
To improve our AI and service quality (anonymized only)
To comply with legal obligations

We do not use your data for advertising, and we never sell your data to third parties.

4. Data Sharing

We share data only with trusted service providers who help us operate RendezBot:

OpenAI — for AI conversation processing
Google — for Calendar integration and Whisper transcription
Meta (WhatsApp) — for message delivery via the WhatsApp Business API
DigitalOcean — for secure server hosting

All providers are contractually bound to protect your data and may not use it for their own purposes.

5. Data Retention

We retain your data for as long as your account is active. Booking conversation data is retained for 90 days by default, then automatically deleted. You may request earlier deletion at any time.

6. Your Rights (GDPR & applicable law)

If you are located in the EU, UK, or Canada, you have the right to:

Access — request a copy of the data we hold about you
Rectification — ask us to correct inaccurate data
Erasure — ask us to delete your data ("right to be forgotten")
Portability — receive your data in a portable format
Objection — object to how we process your data

7. Cookies

Our website uses minimal cookies — only what is technically necessary to operate the site. We do not use advertising or tracking cookies.

8. Security

All data is encrypted in transit (HTTPS/TLS) and at rest. We use industry-standard security practices and host on GDPR-compliant infrastructure.

9. Children's Privacy

RendezBot is a B2B service not directed at children under 16. We do not knowingly collect data from minors.

10. Changes to This Policy

We may update this policy occasionally. We will notify active clients by email of any significant changes. The "last updated" date at the top of this page will always reflect the current version.
